Reasons for variance 

Track why planned work was not completed

Reasons for variance are explanations attached to any task marked as not done. They help your team understand what went wrong, identify patterns and improve future planning. Capturing this information consistently supports better coordination, learning and continuous improvement. 

Common examples include: 

  • Missing materials
  • Lack of labor
  • Incomplete prerequisite work
  • Weather delays
  • Design issues 

These reasons are also visualized in reports to help teams spot frequent blockers. Default reasons may be set by the subscription administrator for consistency in reporting across multiple projects. These default reasons cannot be modified or deleted at the plan level.  

Access reasons for variance settings 

  1. Click the Nialli logo to open the side menu.
  2. In the Settings section, click Reasons for variance

You will see: 

  • An Add reason button. 
  • A list of all reasons, both default and custom. 

Each item in the list shows: 

  • The reason name.
  • A background color (represents that reason across the Visual Planner).
  • Icons for Edit ✏️ and Delete 🗑 (for custom reasons only).
  • A 6-dot handle to reorder the list manually. 

Note: Default reasons are set by the subscription administrator so they are consistent across your organization. They cannot be edited or deleted, so the Edit and Delete icons will not appear on them, but you can reorder them. 

Add a reason for variance 

  1. Click the Add reason button.
  2. In the form, enter:
    • Name — The name of the variance reason.
    • Color — A color from the swatch selector.
  3. Click Save to apply or Cancel to discard changes. 

Any custom reasons you create will appear in the list immediately and can be used in future plans. 

 

Edit a reason for variance 

To edit a custom reason: 

  1. Click the Edit icon (pencil) next to the reason.
  2. Update the name or color as needed.
  3. Click Save to apply your changes. 

Note: Default reasons for variance cannot be edited, as they are set by your organization’s subscription administrator.

Delete a reason for variance 

To remove a custom reason: 

  1. Click the Trash icon next to the reason.
  2. Confirm the deletion when prompted. 

Note: Default reasons set by your subscription administrator cannot be deleted. 

Reorder reasons for variance 

To reorder the list: 

  1. Click and hold the 6-dot drag handle beside any reason.
  2. Drag the item to the required position in the list. 

Users will see the reordered reasons for variance list when marking a task as not done.
